1. Who is responsible
The organization that operates the Mindlympics platform, based in Montreal, Quebec, Canada, is responsible for personal information processed in connection with Mindlympics.
To exercise your rights or ask a question, use the support channels available from app.mindlympics.com.
2. What data we collect
Depending on your role (parent, student, teacher, school administrator), we may collect:
- Account data: name, email, password (stored securely), language, role;
- Child profile: first name or display name, grade level, avatar, parent-child links;
- Learning data: progress, answers, scores, streaks, Sparks (XP), Shards (gems), badges, activity history;
- Technical data: device type, login logs, IP addresses, security and diagnostic logs;
- Communications: support messages, reports, beta feedback.
We do not ask for health data, biometric content, or precise geolocation of children.
3. Children’s data
Child profiles are created and managed by an authorized parent (or through a partner school). The managing parent can view progress, manage access, and request deletion of the profile.
We limit children’s data to what is needed for learning, play, parental oversight, and account security.
Children should not provide a personal email or extra contact details in normal use of the platform, unless a feature explicitly allows it with parental safeguards.
4. Why we use this data
- provide and personalize learning paths;
- show progress to parents and, where applicable, teachers;
- secure accounts and prevent abuse;
- improve the product during beta (aggregated analysis, bug fixing);
- respond to support requests;
- comply with legal obligations.
We do not sell your data. We do not show third-party targeted advertising based on children’s profiles.
5. Legal bases
Depending on context, processing relies on:
- performance of the requested service (account creation, lesson access, parental tracking);
- consent of the parent or person with parental authority, when required;
- our legitimate interest in securing and improving the platform, while respecting individual rights;
- legal obligations, where applicable.
6. Who we share data with
We may use technical providers (hosting, transactional email, observability tools) that process data only on our behalf and under our instructions.
If a child is linked to a school, some progress information may be visible to authorized teachers or administrators of that school, within the scope of their licence.
We may disclose information if required by law, or to protect the rights and safety of users or Mindlympics.
7. Retention
We keep data while your account is active and as needed for the purposes described, then for a reasonable period required for security, legal obligations, or dispute resolution.
When you request deletion of an account or child profile, we delete or anonymize it within a reasonable time, subject to legal retention requirements.
8. Security
We apply reasonable technical and organizational measures: access controls, encryption in transit, security logs, role separation (parent, student, school), and sound development practices.
No system is perfectly secure. If an incident that may present a serious risk occurs, we will take the steps required by applicable law, including notifying affected individuals when required.
9. Your rights
Under applicable law (including in Quebec), you may in particular request:
- access to your personal information;
- correction of inaccurate information;
- deletion of your account or a child profile, subject to legal exceptions;
- withdrawal of consent, when processing is based on consent;
- to file a complaint with the Commission d’accès à l’information du Québec or another competent authority.
The managing parent of a child profile may exercise these rights on the child’s behalf.
10. Hosting and transfers
Data may be hosted in Canada or with providers in other jurisdictions. When a transfer outside Quebec or Canada occurs, we seek to apply appropriate contractual and security measures.
11. Cookies and similar technologies
We use cookies or equivalents needed to run the service (session, preferences such as theme, security). Technical analytics tools may be used to understand platform usage and improve stability, without targeted advertising to children.
12. Changes
We may update this policy. The date at the top of the page will then change. For material changes, we may notify you through the platform or by email.
